About Us Postal applications for Consular Services

To comply with local regulations which do not allow large gatherings and require safe distancing, Consulate General of India in Milan has decided to accept application for selected Miscellaneous Consular applications by post. 

A. The following Miscellaneous Services may be availed under this category:-

  1. Attestation of commercial documents
  2. Attestation of Italian Translation of Indian Documents
  3. Certificate of Birth(based on Passport details)
  4. Identity Certificate
  5. Registration of death and issue of death certificate
  6. Cremation / burial of deceased in Italy
  7. Family Certificate
  8. Unmarried certificate/ Bachelorhood Certificate for solemnisation of marriage at Comune in Italy
  9. Same Person Certificate
  10. Renunciation of Indian Citizenship

B. Steps to follow:

  1. Read the following instructions carefully.
  2. Fill the Miscellaneous Application form. Click here to download the application form.
  3. Paste a recent photographs and sign on the application in the allotted boxes on first and last page. Mention the service category clearly on the application form.
  4. Arrange all mandatory documents in the same order as given in the table against each service. All documents must be self-attested by applicant or by both parents in case of Minor applicant.
  5. Prepare Demand Draft / Assegno Circolare from Bank or Post Office for the correct fee in favor of ‘Consulate General of India’. Incorrect fee shall cases shall not be entertained.
  6. Prepare for Postal delivery and return of ready certificate and by customized DHL link. 
  7. Send the prepared file by Courier.
  8. Trace the application status online.

C. Who can apply:

Indian Nationals living in the areas of Lombardy, Piedmont, Aosta Valley, Trentino-Alto Adige, Friuli Venezia Giulia, Veneto, Liguria and Emilia-Romagna can apply for Miscellaneous Consular services at the Consulate General of India in Milan.

D. How to apply:

Applications can be sent only by Postal modes. Prepaid self-addressed Envelope for return of Ready Passport must be provided with the postal application. Postal modes can be through DHL: Click here for dedicated link

Fill your details correctly at the above customized DHL Link, after payment you would receive following AirWayBills at your email:
a. ANDATA/First shipment and applicants copy(from Applicants address to Consulate)
b. RITORNO/Return Shipment and applicant copy(from Consulate to Applicants address)

* Instructions for DHL : Keep the applicants copies of both AirWaybills for future reference.You can then put your duly complete application in a normal envelope and visit nearest DHL center. Upon presenting the payment receipt for the Courier you should get two corresponding envelopes from DHL based on your AirWayBills, the ANDATA  Envelope and RITORNO Envelope. RITORNO AirWayBill must be placed in the RITORNO Envelope. Duly filled and complete application with Assegno Circolare and RITRONO Envelope must be sent to the Consulate in ANDATA Envelope with ANDATA AirWayBIll pasted on the Envelope.

E. Fee payment:

Applicable Fee has been detailed against the services tabulated below. Fees must be submitted only in form of Demand Draft (also known as Assegno Circolare) from your Bank or Post Office in favor of Consulate General of India.

  • Assegno Circolare should only be in favour and form of Consulate General of India
  • Assegno Circolare can be obtained from your Bank or Post office.
  • In case of Postal Italiane, demand draft should be in form of Postal Vaglia and not Vidimato. 
  • Please do not sign or write anything on backside of the Aseegno Circolare.
  • Your Assegno Circolare must be sent to the Consulate along with the application form

1. Attestation of Commercial Documents:

(i) A letter from the company, in English, authorizing the bearer of the documents to get them attested from the Indian Consulate mentioning reason for attestation.

(ii)  Copy of valid Passport or Carta d’Identità (Self attested)

(iii) Commercial documents, in duplicate (must be Apostilled from Prefettura).

Fees: Demand Draft (AssegnoCircolare) from Bank or Post Office in favor of Consulate General of India amounting to 62 Euros + 2 Euros ICWF = 64 Euros

Note: Attestation of commercial documents can be done only if the documents are apostilled from Prefettura.


2. Attestation of Italain Translation of Indian Documents:

The following documents are required for attestation of translated documents.

(i) Miscellaneous application form duly completed and signed by the applicant. 

(ii) Original as well as copy of the documents required for attestation, in duplicate.

(iii) Original Indian Passport.

(iv) Legalised copy (copia legalizzata) of a valid or expired Permesso Di Soggiorno along with copy of richevuta if applied for reissue of Permesso Di Soggiorno,

(v)Copy of Residence Proof Carta d’Identita, any Utility bill, ospitalità etc. (Self attested)

Fees: Demand Draft (AssegnoCircolare) from Bank or Post Office in favor of Consulate General of India amounting to 25 Euros + 2 Euros ICWF = 27 Euros

Note: If the document is issued from India, the same should be apostilled from Ministry of External Affairs, India. If it is issued by the Italian Government or private organization, it should first be apostilled from Prefettura and thereafter, submitted along with translation in English. 


3. Certificate of Birth

Certificate of Birth is issued if the applicant is born under the jurisdiction of this Consulate. In other cases, a general certificate stating the date of birth and place of birth as per passport shall be issued. Following documents are required for issuing Birth Certificate from the Consulate.

(i) Miscellaneous Application form duly completed with one photograph pasted on it and signed by the applicant.

(ii) Original Indian Passport,

(iii) Legalised copy (copia legalizzata) of a valid or expired Permesso Di Soggiorno along with copy of richevuta if applied for reissue of Permesso Di Soggiorno,

(iv) Copy of Residence Proof Carta d’Identita, ospitalità or Utility bill, etc. (Self attested)

Fees: Demand Draft (Assegno Circolare) from Bank or Post Office in favor of Consulate General of India amounting to 25 Euros + 2 Euros ICWF = 27 Euros


4. Identity Certificate:

Identity Certificateis issued as per the Passport particulars of the applicant. Following documents are required for issuing Identity Certificate.

(i) Miscellaneous Application form duly completed with one photograph pasted on it and signed by the applicant. 

(ii) Original Indian Passport.

(iii) Legalised copy (copia legalizzata) of a valid or expired Permesso Di Soggiorno along with copy of richevuta if applied for reissue of Permesso Di Soggiorno.

(iv) Copy of Residence Proof Carta d’Identita, ospitalità or Utility bill, etc. (Self attested)

Fees: Demand Draft (AssegnoCircolare) from Bank or Post Office in favor of Consulate General of India amounting to 25 Euros + 2 Euros ICWF = 27 Euros


5. Registration of death and issue of death certificate.

The Consulate General of India Milan can issue No Objection Certificate for cremation, burial, and transporting dead body to India if the deceased was holder of an Indian Passport and was residing under the jurisdiction of the Consulate.

Following documents are required to issue such certificates.

(i) Original and copy of Indian Passport of the deceased.

(ii) Copy of resident permit of the deceased.

(iii) In case of an accident/murder/suicide No objection from Police/ Court for cremation/burial or transportation of the mortal remains to India.

(iv) Medical report stating cause of death with English translation.

(v) Death Certificate issued by Comune (Prulingue) or with English translation in case of Italian.

(vi) Letter from the Funeral/Transport Agency, taking responsibility for completing all the required formalities.

(vii) In case transporting of dead body to India Embalming Certificate clearly stating that it is not contagious/dangerous in any way to the health of passengers in the flight.

(viii) In case the close relative of the deceased is in India Consent letter or authority letter or affidavit signed by the close relative(spouse/son/daughter/parents) of the deceased. It should be duly attested by Village Officer/ Tehsildar/Panchayat President, with date and seal giving the name and designation of the officer who attests the document and his/her office seal. Attestation by Notary Public will be accepted only if the same is attested by the respective Court. Please enclose identity proof (Passport, Aadhar Card, etc.) of both the persons (person who is giving consent and to whom it is given).

(ix) If a person wants to accompany a dead body to India an authorisation letter is issued from the Consulate. Copy of Passport and identity proof of individual is required to get the authority letter.


6. Cremation / burial of deceased in Italy

Following documents are required to get this certificate;

(i) In case the close relative is in India consent letter/ affidavit signed by the close relative of the deceased, duly attested by Village Officer/Tehsildar/Panchayat President, with seal/stamp giving the name and designation of the officer attesting and his/her office seal.

(ii) In case the close relative is in Italy, a self declaration with supporting documents (Passport copy and identity proof) to be submitted to the Consulate.


7. Family Certificate.

Family certificate is issued to only Indian Passport holder whose close family are resident in Italy or in India. In case the family is in India affidavit from parents duly apostilled from Patiala house is required.

The following documents are required to issue this certificate;

(i) Miscellaneous Application form duly completed with one photograph pasted on it and signed by the applicant. 

(ii) Copy of the valid Indian Passport of self and family. Birth certificate/Aadhar card of family member who don’t have Passport.

(iii) Legalised copy (copia legalizzata) of a valid or expired Permesso Di Soggiorno along with copy of richevuta if applied for reissue of Permesso Di Soggiorno.

(iv) Copy of marriage certificate in case of spouse category.

(iv) Copy of Residence Proof Carta d’Identita, ospitalità or Utility bill, etc. (Self attested)

Fees: Demand Draft (Assegno Circolare) from Bank or Post Office in favor of Consulate General of India amounting to 25 Euros + 2 Euros ICWF = 27 Euros


8. Unmarried Certificate/ Bachelorhood Certificate for solemnisation of marriage at Comune in Italy.

The Consulate can issue Bachelorhood Certificate (Unmarried Certificate), if only the same is issued by the competent authority in India (Assistant Commissioner of Police, Deputy Commissioner of Police or above, an officer of not below the rank of First Class Judicial Magistrate, etc.,) and has been duly apostilled/attested from Ministry of External Affairs, New Delhi.

In case such a certificate is not being issued from the concered authority the applicant can obtain a declaratory order from the competent Court having jurisdiction in the area of residential address of the applicant, this Declaratory Court-order has first to be counter-attested by the concerned State Home Department and then apostilled by MEA.

The following documents are required to issue this certificate;

(i) Original Bachelorhood Certificate/ unmarried certificate / marriage ability certificate or Declatory Order issued by the competent authority in India (Assistant Commissioner of Police, Deputy Commissioner of Police or any officer not below the rank of First Class Judicial Magistrate). The certificate should be duly apostilled by Ministry of External Affairs, India. 

(ii) Miscellaneous Application form duly completed with one photograph pasted on it and signed by the applicant.

(iii) Original Indian Passport.

(iv) Legalised copy (copia legalizzata) of a valid or expired Permesso Di Soggiorno along with copy of richevuta if applied for reissue of Permesso Di Soggiorno.

 (vi) Copy of Residence Proof Carta d’Identita, Ospity or Utility bill, etc. (Self attested)

Fees: Demand Draft (Assegno Circolare) from Bank or Post Office in favor of Consulate General of India amounting to 25 Euros + 2 Euros ICWF = 27 Euros


9. Same Person Certificate

This certificate is issued as per Passport particulars of the applicant to identify the person in case of minor mistake on other documents. Following documents are required to issue the certificate;

(i) Miscellaneous application form duly completed with one photograph pasted on it and signed by the applicant. 

(ii) Original Indian Passport.

(iii) Supporting Indian documents such as birth certificate, Adhaar Card or any other documents issued by Indian authority (Self attested).

(iv) Legalised copy (copia legalizzata) of a valid or expired Permesso Di Soggiorno along with copy of richevuta if applied for reissue of Permesso Di Soggiorno.

(v) Copy of Residence Proof Carta d’Identita, ospitalità or Utility bill, etc. (Self attested).

Fees: Demand Draft (AssegnoCircolare) from Bank or Post Office in favor of Consulate General of India amounting to 25 Euros + 2 Euros ICWF = 27 Euros.


10. RENUNCIATION OF INDIAN CITIZENSHIP

Indian Citizenship can be renounced within six month (06) after availing foreign nationality. The procedure to cancel Indian Passport is as under;


Documents required for renunciation:

1) Duly filled and signed application form available on the given link https://portal3.passportindia.gov.in/Online/index.html

2) Indian passport in original and one copy of first, last and relevant pages.

3) Self attested copy of  foreign passport

4) Self attested copy of Carta Identita

5) Copy of Certificate of Registration/Naturalization of foreign nationality (Decreto).

6) Demand Draft (Assegno Circolare) from Bank or Post Office in favor of Consulate General of India amounting to 194 Euros.

Note: Please note that cancelled passport will be returned to the applicant by Post using the return envelope provided with the application. A person (including minor) is liable to be penalized as per the provisions of Passport Act 1967, if after acquisition of foreign nationality, he/she retains the Indian passport beyond three years or travels on it after three months on acquiring of foreign nationality. A penalty of Euro 248 (excluding cancellation charges) would be levied for retaining Indian Passport beyond three years.
