General Information

Applicants going to India to participate in International Sports Tournaments have to apply for a Conference Visa and the application should be supported by the authority letter from the organisation along with a letter about clearance of the event from MHA. 

Following in brief are the guide lines from the FAQ issued by the Government of India:

A conference Visa is issued to a foreigner whose sole objective of visiting India is to attend a conference/seminar or workshop  being held in India. 

Procedure for grant of Conference Visa

Indian Missions are authorised to issue Conference Visa to delegates on production of an invitation to a conference/seminar/workshop being  organised in India by a  Ministry or Department of government of  India, State Government or UT Administrations, Public sector Undertakings, Central Educational Institutions, Public Funded Universities ( list of such institutions are available on the website www.education.nic.in  and the websites of the UGS and association of of Indian Universities), or any state Government/UT, United Nations or its specialised agencies.

If the conference/seminar/workshop  is sponsored by an NGO or a private institution, the event is to be cleared by the nodal industry.  With the request of Visa applications the participants  must enclose an invitation letter from the organizers of the event. In the invitation letter, the organizers should mention the details of clearance accorded by the nodal ministry for conducting the event.

N.B. The exhibiters participating in international exhibitions which have internal conferences for the products being exhibited and also the conferences which are held as interdepartmental for international organisations do not fall under Conference Visa but are Business Visas.

Please check the List of Holidays before coming to the Consulate. The timings for submission of Visa applications are from 0915 to 1200 hrs on all working days. Passports may be collected back from 1200 to 1300 hrs on the date specified by the Consulate at the time of submission of application.

Documents required

  • All applicants are required to complete the application form On-line. Photo must be submitted and uploaded online. One photograph of size 50mm x 50mm (2”x2”) with white background should be pasted in the space provided in the form as well as uploaded online. Print and Sign the application at the required places before submitting it at the Visa counter in the Consulate alongwith the passport
  • The certificate of clearance from the nodal Ministry and Ministry of External Affairs where required
  •  Invitation letter from the organisers of the conference.
  • All the official documents in Italian language must be accompanied with English translation by the authorized  translation agencies of the Consulate (http://cgimilan.gov.in/news_home_dtl.php?newsid=187)
